How to Identify Register Sync Errors

Register sync errors prevent your daily transactions and cash reconciliation data from correctly transferring to Xero, leading to inaccurate financial reports. This guide will show you how to quickly identify these specific errors, ensuring your sales data is accurate and up-to-date for accounting purposes.

Overview

Your daily register closure in Lightspeed is the final step in reconciling your cash flow. This data is designed to sync directly to Xero to provide a complete and accurate picture of your daily sales and financial position. When this sync fails, it's a critical error that must be addressed immediately to avoid discrepancies in your bookkeeping.

Ignoring these errors can lead to:

  • Incorrect COGS - Your Cost of Goods Sold will not be accurately reflected in Xero, impacting your profit and loss statements.
  • Misaligned Reporting - Daily sales figures in Lightspeed will not match your accounting records, making it difficult to reconcile your books.
  • Financial Data Backlog - Errors can accumulate over time, creating a large, complex problem that is difficult to untangle later.

Step-by-Step Process

Follow these steps to find and re-sync failed register closures in Lightspeed.

  1. Log into Lightspeed.
  2. From the main menu, click Reporting.
  3. In the reporting menu, click Register Closures.
  4. Failed synchronisation attempts are easy to spot, as they are denoted by a red Xero icon.
  5. To re-try the sync, click the red Xero icon.
  6. The system will now attempt to re-sync the register closure.
  7. If the sync is successful, the red icon will change to a blue Xero icon, confirming the data has been sent to Xero.

Key Considerations & Best Practices

Daily Check
Make it a daily habit to check for red Xero icons on your Register Closures report. This ensures you catch and fix errors before they build up.
Verify Data
After a successful re-sync (the icon turns blue), log into Xero to ensure the corresponding financial data has appeared correctly
Recurring Errors
If the same register consistently fails to sync, it may indicate a larger issue with your system setup, processes or an internet connection problem.
