Breaking Down Products for Accurate Inventory

This guide explains how to break down products in Lightspeed. Breaking down products means dividing a bulk quantity of a product into smaller, sellable units.


Why Break Down Products?


Imagine you buy a big box of individual items, like a case of 12 bottles of pool cleaner. To sell them individually, you need to tell Lightspeed you've taken the case apart and now have 12 single bottles. This process, called "breaking down products," keeps your inventory accurate and ensures your sales and cost of goods reports are correct.


Before you Start

For the first time breaking down a product, make sure the product relationships are set up correctly in Lightspeed. See LXV | Adding Product Relationships for detailed instructions.


Breaking Down Product Individually

Here's how to break down a single product:

  1. Find the product:
    1. Navigate to Catalog > "Products" 
    2. Locate the product you want to break down.
    3. Click the arrow to see more details.
  2. Start the Breakdown
    1. Click "Break down".
    2. Choose the location (outlet) where you're breaking down the inventory.
    3. Click "Next"
  3. Enter Quantities
    1. Enter the quantity you're breaking down. For example, if you're breaking down a case of 12 bottles, enter "1"
    2. The inventory calculations will update as you enter quantities, check for accuracy.
    3. Further break down packs to suit your needs.
    4. Click "Update Inventory"
  4. If needed, repeat these steps for other locations (outlets).


Important

You can't reverse the breakdown, so double-check your numbers!

Breaking Down Products in Bulk


If you have many products to break down, use these steps:


  1. Select Products:
    1. Navigate to Catalog > "Products" 
    2. Use filters to find the products.
    3. Check the boxes next to the products.
  2. Start Bulk Breakdown
    1. Click "Choose an action" > "Break down products".
    2. Choose the location (outlet) where you're breaking down the inventory.
    3. Click "Next"
  3. Enter Quantities
    1. Enter the quantity to break down for each product.
    2. The inventory calculations will update as you enter quantities, check for accuracy. 
    3. Click "Next" when you finish each product.
    4. When you've finished all products, click "Update inventory."
  4. If needed, repeat these steps for other locations (outlets).
