Lightspeed | How to perform a stocktake count

This article details how to perform a stocktake count using the Lightspeed Scanner app. Click here on how to setup for your franchise.


Using the Lightspeed Scanner App


1. Initiating an Inventory Count

  1. Navigate to Inventory > Count.
  2. Tap + Create count to start a new inventory count.
  3. Choose your desired counting method:
    • Count now:This option initiates the count immediately. You will be prompted to:
      • Select the Outlet where the count will take place.
      • Enter a descriptive Count name.
    • Schedule count: This option allows you to plan the count for a future date and time. You will need to specify the future start date and time for the count.


2. Selecting Products for the Count

  • Specific products:
    1. Tap + Add products to count.
    2. Add products by searching via product name, supplier, brand, category, tag, SKU, or by scanning the product's barcode.
    3. Tap Back when all desired products have been added.
  • All products: This option includes every product in your inventory.

Optional: To include products that are currently unavailable for sale, activate the Also count inactive products toggle.


3. Starting the Count

  • Once your count parameters are set, tap Start.
  • You will be automatically redirected to the product counting page. You can tap Cancel to exit this page and save your progress, or continue to the counting process.


4. Performing the Product Count

Note: The first time you initiate a count via the Scanner app (whether set up in the app or Retail POS), the application will perform a full synchronization of your product database. This initial sync may take some time depending on the size of your product catalog but is only required once.

To begin counting products:

  1. Use the in-app camera to scan a product barcode or search for a product in the Search or add products field.
  2. Adjust the quantity of the counted product using the Quantity field.
  3. If no stock is present for a product, tap Mark as 0 stock.

Data Synchronization: Counts are automatically uploaded to Retail POS every 10 seconds when an internet connection is available, ensuring data is saved even if you exit the app during the counting process. If the device loses internet connection, the status will change from "Uploaded" to "Offline," and all products counted offline will sync once connectivity is restored.


5. Completing the Count

  1. Tap Finish counting.
  2. A confirmation screen will appear, indicating that your count has been uploaded to Retail POS for review.
  3. You can tap Resume counting if further adjustments are needed.
  4. Otherwise, tap Got it, thanks! to return to your Counts page.


6. Reviewing and Finalizing the Count

After submission, it is essential to review your counted items in Retail POS on a desktop device to finalize the inventory count.


Once the count is completed in Retail POS, it will no longer appear in the Lightspeed Scanner app. You can access historical inventory counts by navigating to Inventory > Inventory counts > Completed in Retail POS.


Remember :

physical stock / cycle counts performed in Lightspeed don't update into Xero.  A manual journal is essential to align Xero's inventory values with the physical count. Please proceed to "Xero | Adjusting Inventory & COGS values" to manually update Values in Xero.
