Learn how to streamline client records across Vital, Lightspeed, and Xero through deduplication.
Currently, there is no automatic integration for deduplication across Vital, Lightspeed, and Xero, so client records must be managed separately in each platform. This article provides step-by-step intruction for merging duplicates in each platform, ensuring your data stays accurate and consistent.
Step 1: Merging in Vital
It’s best to start your deduplication process in Vital. Vital includes a built-in deduplication tool, but the columns displayed in the tool are currently fixed. To make the process easier, open two tabs: one for the deduplication tool and another for your Contacts list. This allows you to cross-check the details of each contact in the tool with a more comprehensive view from the Contacts list. On the Contacts list, enable the Created Date column, which is also visible in the deduplication tool. This helps you verify and retain the correct record while merging duplicates.
Things to remember before merging in Vital
Before proceeding with deduplication, keep these key points in mind:
If you merge a contact with a stored credit card into one without, the card details will be lost. Always check for stored credit cards and consider keeping the record with the card. Update it with the correct contact details and make it the primary contact.
While jobs, quotes, and invoices transfer to the primary contact, only the primary contact’s details are kept. Ensure the primary contact has the correct info (e.g., notes, batching preferences) before merging to avoid losing important data.
Pools will also transfer from the duplicate to the primary contact. If there are duplicate pools, merge them first.

Step 2: Merging in Lightspeed
Next, take the client data merged in Vital and search for the same clients in Lightspeed. Use the client ID from Vital to cross-check against the ID in Lightspeed, ensuring you're keeping the correct primary record.

Step 3: Merging in Xero
Finally, merge the same contacts in Xero. Keep in mind that only contacts with open transactions are synced to Xero, so some duplicates in Vital and Lightspeed may not appear as duplicates in Xero.

Tip:
Although optional, you can verify that the primary contact across systems corresponds to the same record. Start in Vital by clicking the Synced button to navigate to the corresponding record in Lightspeed. From Lightspeed, click on View on Xero to access the matching record in Xero.
