Troubleshooting Register Closure Sync Errors (LS > Xero)

This guide helps you identify and resolve common register closure sync errors between Lightspeed and Xero. Ensuring accurate sync of register closures is crucial for maintaining accurate financial records in Xero.


Understanding Register Closure Sync

When you close a register in Lightspeed, the sales and payment data is summarized and synced to Xero, where the revenue is recorded. This allows for efficient reconciliation and financial reporting.


Identifying the Sync Error

In Reports > Register Closures, you will see a Xero box next to the time opened once the register has been closed. If it is blue, it has successfully synced to Xero. If it is red, there has been a sync failure. 

Click the Xero box to retry syncing the register closure to Xero. If an error persists, it will present the error screen with a sync failure reason, like the below screenshot.

Common Errors and Solutions


Here are some common errors you might encounter when syncing register closures to Xero, along with their solutions:


One of the payment types used for your register closure is trying to send to a Xero account that can't receive payments


This happens if one of your Accounts for payment types does not have "Enable Payments" ticked in Xero or is not a valid bank account/account type.

Solution
Step 1: Check the 'Accounts for Payment Types' section in the Xero setup page in Lightspeed. To do this:
  1. In LightSpeed, navigate to Settings > Apps
  2. Click the pencil icon for Xero in My Apps. 
  3. Scroll down to Payment Types
  4. Ensure each payment type posts to an account with payments enabled. 

Step 2: Check the account(s) has payments enabled in Xero, by:
  1. Navigating to the Accounting menu, select Advanced, then click Chart of accounts.

  2. Click the account to open its details.

  3. Ensure Enable payments to this account is tickedIf not, check the box.

  4. Click on Save to apply any changes.


One of the products in this register closure has an account code that we can't find in Xero


This occurs when an account code attached to a product does not exist in Xero or is an invalid account.

Solution
  1. Navigate to the Accounting menu, select Advanced, then click Chart of accounts.
  2. Search or locate the account code.
If you aren't able to locate this account code in Xero, the product(s) with this account code specified will need to be updated. If you know the product(s) this account code is on, update the products under Catalog > Products.

If you are unsure which products have this account code specified, you can export your product list to CSV and search for the code there. See Editing Products in Bulk: The Spreadsheet Way for step by step instructions.  


We don't know where to send some of your data


This error occurs when an account mapping is empty on the Lightspeed to Xero setup page, usually when a new payment type or sales tax has been added in LightSpeed but not mapped to an account code in Xero. 

Solution
  1. In LightSpeed, navigate to Settings > Apps
  2. Click the pencil icon for Xero in My Apps. 
  3. Scroll down the setup page, identifying any blank fields that need an account selected. 
  4. Click here for the standard account codes to be referenced. 
    • If you are still unsure or the mapping you need isn't listed, please contact Evolution Support.
  5. Click Save to apply any changes.


Retry Sync

After you have processed the solution steps for the relevant error, retry syncing the register closure to Xero. To do this:

  1. Navigate to Reports > Register Closures
  2. Locate the relevant register closure
  3. Click the red Xero box to retry syncing the register closure to Xero.


Tips for Preventing Errors

  • If you enable a function or add additional payment types or tax rates/groups in LightSpeed, this generally means an account code mapping will need to be updated in the Xero setup page. 
  • Double-check that the tax types assigned to products in Lightspeed align with the tax types set up in Xero. You can do this in the Xero setup page.
